Trek Cost Inclusions
The cost includes:
- Services of Guides with technical mountaineering skills and knowledgeable about local culture, customs, wildlife flora and fauna, helpers, porters, cooks. (Please note that the trekkers are expected to be fit enough to carry their personal backpacks themselves. The technical equipment, tents, ration etc will be carried by our staff. In case a trekker wishes to avail the services of a porter for carrying personal belongings then please inform us beforehand so that appropriate arrangements can be made at a genuine additional cost. ) We highly recommend that trekkers bring only the essential things and not overload their luggage
- Tents, sleeping bags, mattresses, and technical equipment necessary for the trek.
- Forest camping permit wherever applicable
- All meals during the trek (vegetarian)
Exclusions
The fee does NOT cover following expenses/arrangements, and the participants would need to arrange the following own their own. (Though we can definitely help you for making arrangements)
- Transportation for reaching trek base / Accommodation required prior to start of trek (unless included in some packages)
- Accommodation at / Transportation from terminating place, after trek ends
- Expenses of personal nature, personal medication, Tips/Gratuities etc.
- Emergency evacuation / medical condition in unforeseen circumstances
- Anything not explicitly mentioned under -inclusions- section
Payment & Confirmation
- Your booking will be confirmed once we receive the payment
- Payment can be done via Internet Banking, cheque, draft or cash deposit in our bank account
- Payment modes and other details will be emailed to you after registering for the trek
- Before embarking on a trek, the participants need to sign a risk form
Cancellation / Refunds
A trek / adventure activity / tour in mountains, involves a lot of advance planning and logistic arrangements. Hence, cancellation, when the dates of the planned trek/activity are approaching, makes full refunds infeasible. In case of unforeseeable circumstances, if you have to cancel your registration then following refund policy will apply
- Cancellation 30 days (or earlier) prior to start of activity: No cancellation charges
- Cancellation between 30 days and 15 days prior to start of activity: 50% cancellation charges (50% refund)
- Cancellation between 15 days and 7 days prior to start of activity: 75% cancellation charges (25% refund)
- Cancellation less than 7 days prior to start of activity: 100% cancellation charges (No refund)
- Cancellation date will be considered to be the date when we receive a written communication / email (from the same email id given at the time of registering)
- Please allow us 15 days to process your refund
- Refund percentage is calculated with respect to full cost and not pre-payment amount. In case your pre-payment is less than the refund percentage, then the difference amount is still payable by you (e.g. If cancellation date is 10 days prior to start of the trip, then as per cancellation policy, 15% of total cost is refundable, implying that a balance amount of 35% is still payable(100% - 50% - 15%)
- No show is treated as cancellation and entitles no refund
Batch Sizes for Fixed Departures
A fixed departure batch is composed of various people (or small groups) registering separately for a particular pre-fixed departure. All prices quoted assume a minimum batch size. As a part of our commitment towards environment protection and for convenience of our clients , we DO NOT take over crowded batches on treks, hence the minimum requisite batch size (3 - 5) is easily achieved. However, under unusual circumstances, if these minimal requirements not met, we may need to adjust the dates, or cancel the departure in extreme cases. In such a situation if modification/cancellation is done by us, then timely communication via email/phone will be made with the participants and if they opt, their full money can be refunded. Your money is 100% safe. Alternatively, if they may desire, the departure can still be organized with a revised pricing worked out as per the final batch strength.
Please note that for customized requests no size or date restrictions apply and cost is worked out on request to request basis in that case. If you want to cherish your trip exclusively with your own personalized group and as per your own schedule, we suggest to raise a custom request instead.
Disruption due to Natural calamity / Bad weather / unsafe circumstances
Mother Nature is not predictable and plays by her own rules. So, we can hope for the best but we also have to be prepared for the worst. If an activity / trek / tour needs to be fully cancelled due to bad weather such as rain, excessive snow, landslide, floods or circumstances such as protests, riots, strikes or curfews etc, then Seeking Himalayas can either
- try to arrange an alternative activity of similar nature within the same time frame of your planned dates to keep the essence of your experience unaltered; OR
- issue you a voucher equivalent to your fee (excluding tax amount), which can be redeemed within 2 years for same or different activity
- If circumstances beyond our control, like weather issues or administrative issues (strike, protest, curfews etc) impact your inbound/outbound journey, or obviates ticket rescheduling, then we would not be responsible for the additional cost arising due to it. That needs to be borne by you
